Decide between one suite and specialist apps

The right stack is the one your team can operate, not the one with the longest feature list.

When a suite helps

A suite can reduce logins, duplicate data, billing complexity, and training when its core workflow genuinely fits the business. It is often a good choice when the team needs consistency more than maximum customization.

Do not assume one vendor means no manual work. Test the handoffs that matter most, not only the polished demo path.

When specialists help

A specialist app can be worth the added complexity when it solves a high-value, specific problem that a suite handles poorly. Make the reason explicit and assign someone to own the connection or manual handoff.

The burden rises with every additional account, permission set, renewal, training path, and broken sync to monitor.

Use an operating test

Compare options with the same real scenario: a customer arrives, work is scheduled, the team delivers, a record is updated, and payment or follow-up happens. Count the decisions and re-entry points each option creates.

Choose the option that makes the important work clearer with a cost and complexity the business can maintain.
