Choose a source of truth for each kind of work

A source of truth is the place the team trusts when the answers do not match.

Use one home per question

Ask a plain question: where do we look for the current customer contact, active job status, approved file, appointment, invoice status, or policy? Each answer should have one primary home.

A spreadsheet may be the right home for a small, stable record. The decision matters more than whether the tool looks sophisticated.

Define copies and connections

Some information must be copied or synchronized between systems. Mark which copy controls the answer and how errors are corrected. Otherwise, two systems quietly become competing sources of truth.

Before adding an integration, decide what should move, when it should move, who checks failures, and what happens when information conflicts.

Teach the rule

Write the rule next to the workflow: customer information lives here, requests start here, approved files live here. Train people on where to put information and where to look before asking around.

Good tools reduce memory work. They do not require everyone to remember a different exception for every customer.
